Of course this is only one level down. So see the page under any child page, you have to first go to that page. But that’s another story for another day. The following figure is typical of what this dialog looks like. While it happens to be from a school site, the same principles described here apply to any site, internet or intranet.

So you see in the first column, Sub-Page Name, the names of all the pages immediately beneath the current page. This list can become rather long in some cases. If there are more than 20 child pages, the pages will be grouped in sets of 20 pages at a time and you will see a set of page numbers in the bottom right corner of the dialog that allow you to navigate between the pages.

The second column, Visibility, indicates the status of the page. There are three possible status states. The first is: Show. This one should be obvious to most users. It indicates that the page is not only visible to the user, but will appear in the site navigation, either the Main Menu if you are in the sites home page or at least in the site navigation typically found in the left navigation of a page.

But sometimes you want a page to be active and accessible via a link, but not through the main menu or the left side site navigation object. To do this, use the Hide Selection option. This is the case for the first three pages at the top of the above dialog: News, Archived News, and Calendar. In each of these three cases, we may want to access these pages in some other way than the standard site navigation. This might be via a link somewhere else on the page or even from a different page outside of the standard hierarchy. In the case of the Calendar page, this page can be accessed via a link automatically provided at the bottom of the Upcoming Events portlet. However, it might also appear as a link under School Information even though the page does not actually exist physically under the School Information page hierarchy. Similarly, News is generally not displayed in the menu which has limited horizontal space, but a special Data Aggregator can ‘collect’ the News Content Pages that exist as child pages to News to create the Recent Events portlet. Again though, News might appear as a menu option under School Information. However a better choice is to rotate your news pages automatically to keep them fresh by using the Expiry and Move To options in the pages properties to move older news automatically from News to Archived News. Then you might display a link to Archived News under School Information. In any case, all three of these pages are hidden from the standard site navigation objects and must be referenced explicitly through other page links.

The third option for Page Visibility is Hide Section. This option at first appears to work similar to the Hide Selection option and in fact it is similar. The primary difference is that Hide Section sets a flag in the page that requests search engines to ignore the page. In theory, that would mean that when users attempted to search for the page either through the search engine built into SchoolMessenger or via search engines like Google or Bing, the page would not be returned in the search results. Note however that this setting is just a request not to be included in search engine page indexing and thus search results. It is not a guarantee. In addition, if a page status was initially Show and the global search engines found the page while indexing the site, simply changing the page status to Hide Section will not immediately remove the page from the search results until, at best, the search engine does another crawl through the site. In fact, due to the nature of search engines, it could be quite a while until the page ‘disappears’ from the search results and that is assuming that the search engine honors the request to hide the page.

Of course, you could archive a page by clicking the check box to the immediate left of the Sub-Page Name and then clicking the Archive button at the bottom of the dialog. When you do this, not only is the page hidden from navigation and from search engines, but if a link on the site still refers to that page and a user clicks the link, they will get an error message that the page does not exist (unless they have edit rights to the site which allows them to see archived pages). An archived page can by recovered by clicking the Archived Subpages link in the Page Options menu. This dialog shows any archived pages under the current page. To recover one of them, click the check box to the immediate left of the Sub-Page Name and then click the Un-Archive button. The page is now made active with the Visibility status of Show. This is a good way to keep pages that you only use during certain times of the year and do not want to have to recreate each time you need them. Currently, when you archive a page, the system automatically archives all the child pages, their children, and their children, etc. It is the equivalent of archiving (or restoring) the entire branch of pages.

Finally, it should be noted that changing the visibility status of a page only affects the current page, not the child pages beneath it. Often this is a good choice. For example, while News may not appear in the site navigation, you may after navigating to one news item via the Recent News portlet want to see other recent news items without having to return to the home page. By setting all the child pages under News to the visibility status of Show, you can easily accomplish this goal. If on the other hand, you want to change the Visibility status of all child pages beneath the current page, you must change their statuses individually.

When you open Page Status (under the Page Options menu), you see all the active child pages beneath the current page.
